Who we are
This website (ukpassportchecker.co.uk) provides guidance to help UK passport holders understand common passport validity rules for travel (for example, EU/Schengen requirements).

- Passport checker inputs: passport issue date, passport expiry date, travel departure date, travel return date, and destination selection. These are used to calculate the result shown to you.
- Reminder service (optional): if you choose to set a reminder, we store your email address, your passport expiry date, and your preferred reminder timing (e.g. 3 months before), plus a unique token used for confirmation/unsubscribe links.
- Account details (optional): if you create an account (or claim a reminder into an account), we store your email address and a password hash (not your plain password), plus account creation date/time.
- Passport holders / family members (optional): if you add family members, we store the name you enter (e.g. “John”) and when it was added.
- Trips (optional): if you add upcoming travel, we store destination and travel dates, linked to the passport holder you selected.
- GDPR export requests (optional): if you request a data export, we may store a record of the request (date/time, status), and basic technical data such as IP address and user agent to help prevent abuse and for auditing.
- Technical and usage information: basic server logs (e.g. IP address, browser type, pages requested) which are commonly recorded by web servers for security and diagnostics.
What we do not collect
- We do not ask for or store your passport number.
- We do not ask for scans or photos of passports.
- We do not intentionally collect special category data (such as health information).
How we use your information
- To provide the passport check result and display guidance on the page.
- To send reminder emails if you opt in to the reminder service.
- To provide account features such as managing multiple passport holders, reminders, and trips.
- To keep the website secure, prevent abuse, and troubleshoot errors.
- To understand site performance so we can improve the service.
Legal basis for processing (UK GDPR)
- Legitimate interests: operating, securing, and improving the website, preventing abuse, and basic diagnostics.
- Consent: sending reminder emails that you request. You can withdraw consent at any time by pausing/unsubscribing.
- Contract / steps at your request: where you choose to create an account and use account features (managing your saved reminders, holders, and trips).
How the reminder service and accounts work
If you choose to set a reminder, we store the minimum information needed to deliver it: your email address, passport expiry date, and reminder preference. We may use a confirmation step (double opt-in) to ensure the email address belongs to you.
You can stop reminders at any time by using the unsubscribe link in reminder emails or by pausing them in your account (if you have one).
Requesting your data (GDPR export)
You can request a copy of the personal data we currently hold about your account. If you are logged in, you can use the “Email me my data (GDPR)” option in your account area (where available).
The export typically includes your account email, your passport holders, your reminders (including status and scheduling fields), and any trips you saved. We may also include a small audit record showing that you requested an export.
Cookies and similar technologies
We may use cookies or similar technologies for essential functionality (for example, keeping you logged in) and to understand site usage.

- Reminders: kept so long as the reminder is active or needed to provide the service, and may remain for a period for audit/anti-abuse purposes (for example, confirmation and unsubscribe history).
- Account data (if you create an account): retained until you delete your account or request deletion, subject to any legal or security requirements.
- Trips and passport holders: retained until you remove them or delete your account (if applicable).
- GDPR requests: we may keep a simple log of requests (date/time and status) to demonstrate compliance and help prevent abuse.
- Server logs: typically retained for a limited period for security and diagnostics.
Your rights
Depending on your circumstances, you may have rights under UK data protection law including:
- The right to access the personal data we hold about you
